Title

A Resolution of the City Commission accepting the recommendation of the Chief Procurement Officer to award HVAC & Refrigeration Systems Services to Weathertrol Maintenance Corp., as the sole responsive and responsible bidder in an estimated annual amount of $591,746.50 and not to exceed budgeted funds, pursuant to Invitation for Bids (IFB) 2025-033 and section 2-763 of the City’s Procurement Code entitled “Contract Award”.

Body

The purpose of the IFB is to retain the services of a qualified and experienced firm for the purpose of providing maintenance, services, repairs, and new installation of HVAC & refrigeration systems at specified locations throughout the City.

 

On October 14, 2025, the Procurement Division of Finance formally advertised, issued and distributed IFB 2025-033 HVAC & Refrigeration Systems Services. One hundred and fifteen (115) prospective bidders were notified through INFOR, the City’s web-based e-Procurement system.

 

One (1) bid was received on November 19, 2025, in response to the IFB: Weathertrol Maintenance Corp.

 

The response was reviewed by the Procurement Division to determine responsiveness to the requirements of the IFB. The Procurement Division finalized its’ due diligence process and confirmed that Weathertrol Maintenance Corp. was responsive to the requirements of the IFB and is a responsible firm.

 

Once this step was completed the Public Works Department conducted an evaluation of the submittal identified by Procurement and concurred with the Chief Procurement Officer’s recommendation to award Weathertrol Maintenance Corp., as the sole responsive and responsible bidder in an amount not to exceed budgeted funds.

 

Section 2-585 of the Procurement Code, entitled “Authority” authorizes the City Manager to delegate authority to the Chief Procurement Officer to administer and make recommendations on contract awards.
