Communications Committee Meeting of July 19, 2007

The minutes from the June meeting were circulated for approval. Motion: Richard Chimelis motioned to approve the June meeting minutes. Katherine deBlij seconded the motion and it was passed unanimously.
Apolinar Ayanes from the IT Department reported that they are working with the Disability Affairs Board to design a page for the web about disability issues. Once done, he will forward the page to the Communications Committee for additional input before posting.
Based on last meeting's conversation regarding the perception if whether the communication efforts from this group were being effective, Higgins Fallon drafted a Communications Survey which was distributed for review. This information was based on a survey done about four to five years ago over the phone. This information would be posted on the website to gather input about how the City is communicating with the public.
Higgins Fallon distributed a sample of the layout that she is working on for the annual report. The entire report is not finalized but she wanted to present the look of the design to the Communications Committee. Once the entire design is finalized she will forward to them. Members were happy with the design.
Higgins Fallon informed that the City Manager made his first Budget Workshop presentation to the City Commission this week as part of the budget process. The Communications Division is having a 19 percent reduction in budget with a proposed loss of $152,000 mostly coming out of printing and equipment for Coral Gables Television. She explained that this will affect the services provided by her Office. The challenge for the upcoming years is to communicate more with less funding.
