Library Advisory Board Meeting of October 8, 2008

LIBRARY HISTORY: Kendell Turner opened discussion on the Kay Pancoast mural's 40th anniversary celebration to be held in February 2009. Discussion included the invitation list, printing, and various means of getting the word out. Amy Kutell reported that she had visited Marty Grafton, photographed and measured the various pieces of Pancoast art that will be included in the exhibit. Amy read a letter she received from Cristina Martinez, the art director at the Youth Center, who is planning a project for the after school children which will be included in the exhibit. Discussion was held regarding the various types of artwork and number of pieces to be included in the exhibit. Kendell Turner inquired if the original renderings of the Coral Gables and South Miami library buildings had been returned. The board requested that some repairs be made in the meeting room prior to the exhibit. Monica Martinez made notes of the items to be handled. Regarding the food and beverages for the event on Feb. 26, 2009; it was noted that Ileana Davis had offered to head that aspect of the event planning. Sylvia Mora-Oña noted that Lucrece Louinis will be invited to the next meeting to update the board on her progress.
PUBLICATIONS & PUBLICITY: Kendell Turner reported that she had spoken with Jackie Sousa from 'Coral Living' magazine. Ms. Sousa plans to publish a story on the 40th anniversary of the Kay Pancoast mural. Sylvia Mora-Oña reported that the Kay Pancoast Mural Exhibit and dedication event will be published in the Library System's program book for the month of Feb. 2009 and on the MDPLS website.
LIBRARY REPORT: Monica Martinez reported that the library is preparing for early voting. As of Oct. 1, 2008, each Library account will need to show a zero balance before the library card can be renewed.
LANDSCAPE MAINTENANCE/BUTTERFLY GARDEN: Troy Springmyer reported that the garden is in good condition. Nancy Leslie reported that she reported to the Coral Gables Garden Club board on her findings for a replacement butterfly sculpture for the Butterfly Garden. Discussion followed regarding securing the sculptures, size, and prices. The Library Advisory Board agreed that it would be preferable to have 3 small butterfly sculptures at different heights than to have 1 butterfly shaped bench.
ANNUAL REPORT: Board members discussed the report that had been prepared. Susan Elwell made a motion to "Approve the Annual Report as written." The motion was seconded by Amy Kutell, voted upon and adopted with a unanimous vote. Kendell Turner inquired as to how the total cost of $2,526.84 was determined. Janet Carrasquillo noted that the figure is for staff hours.
Susan Elwell asked if the meetings scheduled for Dec. 2008 and Feb. 2009 could be changed to Nov. 12, 2008 and Jan. 14, 2009 respectively. It was decided that board members would be polled and notices would be sent via email regarding the change of dates.
Sylvia Mora-Oña announced that the Miami-Dade Public Library System was recently awarded the 2008 National Medal for Museum and Library Service, the nation's highest honor for museums and libraries. Each year, the Federal Institute of Museum and Library Services (IMLS), in coordination with the White House, presents the National Medal to five museums and five libraries that have helped make their communities better places to live. Library Director, Raymond Santiago, a Coral Gables citizen, received the prestigious award from First Lady Laura Bush at a ceremony in the White House.
